Time Saving Techniques In Your Immigration Software

One of the major advantages of using an electronic Case Management System is its potential for automating routine information-gathering and case processing steps so standardized administrative tasks can be accomplished more efficiently.   Consider how often you have done the following:

  • Sent the same set of standardized questionnaires to clients when opening a new case to request basic case preparation information
  • Made multiple client requests for documents from the same list of required documents
  • Documented the same checklist of workflow steps for processing a routine case from information-gathering to drafting the forms and letter to notifying the client of an approval
  • Called up the same set of forms to fill out for a particular petition or application

By using an effective electronic Case Management System, all of these routine case processing tasks can be pre-set or “bundled” in the system administration module according to your particular practice needs. Each time a case manager opens a new process, the appropriate set of questionnaires, required document lists, milestone process activity lists and required forms appear by default.  The case manager can always further tailor these default settings on an individual case basis, but having the foundation of process bundling in place is a huge time saver. Without process bundling, Case Management users are burdened with selecting the appropriate questionnaires, required document lists, and forms for each new client or process on a case-by-case basis. Further, they will be forced to rely on generic activities lists to document workflow instead of using customized activities lists tailored to the milestone activities of that particular process.  The most common reason we hear for not taking advantage of the bundling feature is the perception that the organization does not have the time to commit to setting up customized bundles of Questionnaires, Required Documents, Activities and Forms for each of their processes. Did you know that with an electronic Case Management System like EDGE, about 50 common process types come already pre-bundled with default Questionnaires, Required Document lists, Activity lists and Forms? Default process bundling eliminates the need to build these process bundles from scratch. Users can take advantage of default process bundling just “out of the box” without any further investment of time, or your organization can spend some additional time further tailoring the process bundles to your specific practice guidelines.  Another option is to start out using the default bundling provided and then further customize bundling for a few processes at a time.  No matter how little or how much time you wish to invest in customization, having the default process bundling as a foundation is a great time saver as it eliminates the need to create process bundles from the ground up. So if you have not been taking advantage of the efficiencies of process bundling in your CMS, now is a great time to have another look at the potential benefits of tapping into this time saving feature.
