Guardian Audit Response Service

With Guardian, LawLogix staff are here to assist your organization with compiling the necessary documentation the Immigration and Customs Enforcement (ICE) agent will likely need or has requested.  ICE often makes several requests when issuing a Notice of Inspection.  Please read through this page carefully to access and produce the information needed on the date of the inspection.

How the Response Service Works

 

Most NOI letters identify a specific segment of your overall population, often based on worksite.  When working with LawLogix staff it is important to define only those records subject to the audit.  To identify the population access the Reports module from the Guardian menu and run one or more reports based on the following steps.

  1. Within Reports click Interactive and click New
  2. Add a report name.  LawLogix suggests a name associated to the request e.g. ‘NOI audit mm.dd.yy’
  3. Select I9 as the Base Table and click Update Settings
  4. Click the second tab, Columns (When selecting fields to be included-detailed in the following steps-the name of the field should appear in the Field Name column.)
  5. Select I-9 from the Tables column
    1. In the Select Field column, select I-9 Number.  Note: this is the number that will be used to identify the record to export and must be provided to LawLogix.
  6. Select Employee from the Tables column
    1. Select First Name
    2. Select Last Name
    3. Select Date Hired
    4. Select Date Terminated
    5. Selection Location
    6. Select Business Unit (if applicable)
  7. Click Update Settings
  8. On the Settings tab utilize the filters to narrow the results
    1. If the NOI is for a given location, select the applicable location from the Location dropdown
    2. If the NOI is for a given business unit or legal entity, select the applicable value from the Business Unit dropdown
    3. If the NOI is for a group of employees segmented in another way (e.g. group or custom field then use its associated filter to select the applicable option)
    4. If the NOI is only for active employees, adjust the Employee filter from All to Status: Current
    5. If the NOI is for hires within a specific time frame, use the Date Range filter section, select Date Hired and enter the applicable hire date range.
    6. Click Update Settings to save the changes, then Run Report Now

Note: if more than one location, date range, or other employee segment identifier is included in the NOI, duplicate the report template and set the appropriate filters for each needed group.

Since your organization utilizes an electronic system for generation and storage of Form I-9s, most auditors request information about the system in use.  Please download the documents provided below and have them on-hand on the date of the inspection.

Let the LawLogix team know about your NOI so that we can begin working on the extract as quickly as possible.

If the report(s) created by the above step correctly define the audit population, simply provide each report name that should be used to create the extract.  Remember, the extract will include all the I-9 records identified in the report.

If you needed to download the report and manipulate it further to remove unnecessary records, please provide a comma separated list of I-9 Numbers in the space provided.

Some NOIs include a request for access to E-Verify reports.  If this was part of the NOI documentation request, please proceed with the following.  The report output generated by following the steps outlined below mirrors an E-Verify ‘audit’ report.
  1. Within Reports click Interactive and click New

    1. Select EV Date Initially Submitted
    2. Select EV Submitted by
    3. Select EV Case No

    6. Select EV SS No Submitted
    7. Select EV I-94 No Submitted
    8. Select EV I-94 Submitted
    9. Select EV A No Submitted
    10. Select EV Card No Submitted
    11. Select EV Date Hired Submitted
    12. Select EV Overdue Reason
    13. Select EV Overdue Reason Other
    14. Select EV Initial Eligibility
    15. Select  EV DHS Response
    16. Select EV Last Return Msg
    17. Select EV Case Resolved
    18. Select EV Final Option
  6. Select E-Verify from the Tables column
  7. Click Update Settings
  8. On the Settings tab utilize the filters to narrow the results
