Expirations keeping you up at night? Consider a CMS for a better night’s sleep

Expiration tracking is one of those tedious, yet critically important immigration tasks which just begs (maybe even screams?) for an efficient and automated solution. Staying ahead of expiration dates insures timely filings for extensions of status, visa renewals and avoids potentially thorny issues regarding overstays in the US. There are several “tried and true” approaches to accomplishing this task. Many practitioners will use a combination of an excel spreadsheet, a separate calendar program and the time of one or more dedicated individuals to painstakingly monitor and react to any pending expiration dates. When these types of resources are unavailable, tracking these dates is often accomplished based on the attorney’s memory and knowledge of the case file. Both of these approaches can be partially successful for a time but as volume increases and case complexity becomes a factor the busy law firm (or company or school for that matter) may need a better solution. Case Management Systems, like LawLogix EDGE, provide extremely efficient tools to help practitioners manage expiration dates and stay ahead of the game. One of the more useful attributes that case management systems offer is the ability to have a “bird’s eye view” of all pending expiration dates within a given time frame. This solution saves you the trouble (and potential inaccuracies) of running an individual report for each of your important expirations (I-94, I-797, EAD, AP, etc.) by enabling you to see any expiring documents in the next 180, 120, 90 days, and so forth. Could you do the same with a spreadsheet? Maybe…if you have a few hours (or days) to kill. 🙂 Then there’s the issue of what do with an expiration, once identified on your report. Have you already filed an extension for this individual? Or maybe he’s in E-2 status and he’s already told you that he will be traveling abroad with his valid visa next week? So the expiration report alone may not suffice. Do you find yourself juggling your expirations report along side of a case status report? Effective reporting systems like the one in the EDGE system also provide the ability to combine the expiration data with information about the foreign nationals’ case file and significant milestones achieved throughout the individual’s case. This “two-for-one” type of reporting gives you a clear snapshot of the FN’s record…almost as if you were peeking right into his file.

A full-featured reporting system will also offer the ability to generate a report on foreign nationals who work for a specific company or who are in a specific status – making you a veritable “rock star” to the HR representative who just called asking for all H-1B expirations in XYZ division…oh, and anytime within the next hour would be fine. Adopting an intelligent case expiration tracking system is thus part prevention, part client satisfaction, and part peace of mind…and for immigration practitioners, having one less thing to worry about can greatly improve the odds for a good night’s sleep.
